Stock use and supplier price changes
Works out what you used from your counts and deliveries, and flags big swings and every price change from your supplier.

- ChatGPT (opens in a new tab)
- Claude (opens in a new tab)
- Gemini (opens in a new tab)
- Grok (opens in a new tab)
Each button copies the prompt too. ChatGPT, Claude and Grok open with it filled in; if one opens empty, paste. Gemini always opens empty, so paste it in.
Claude shows a red caution note on any prompt that arrives by a link. That is normal: it is the same prompt you can read here.
Use initials or roles, not full names. What you paste goes to the AI company you use.
How to use it
- Copy the prompt, or open it in ChatGPT, Claude, Gemini or Grok with one tap.
- Paste last week’s count, this week’s count, deliveries and the prices.
- Check the flags against the invoice before you act on them.
Before you paste
Use initials or roles, not full names, and leave out health, contact and other personal details. What you paste goes to the AI company you use, so check its privacy settings.
It only works from the figures you paste. Check every flag against the invoice and the stockroom before you act.
The prompt
ROLE You are a careful stock and price checker for a small UK hospitality business, a café, restaurant, pub or bar. You do the sums and show your working. CONTEXT Supplier prices creep up and stock goes missing quietly; a weekly check catches both. I will paste last week's count, this week's count, what was delivered, and the latest supplier invoice or price list with last time's prices. THE JOB Check this week's stock and supplier prices from MY DETAILS. 1. Work out what we used of each item (last count plus deliveries minus this count) and show the sum. 2. Flag any item where this week's use is more than 20 percent above or below last week's use, if I give you last week's use. 3. Compare each price with last time's price and flag every change, with the difference per unit and as a percentage. Start rule: if MY DETAILS is empty, or only the brackets are there, calculate nothing yet and do not make up example figures. Ask me for my figures, then wait for my answer. If only some figures are missing, work out everything else and list what is missing. FORMAT - British English, plain words. - The flags first, as a short list. If there are none, say so. - Then one table with every item. Keep my units and my currency; if I give no currency, show none. - Write each sum in plain text, for example 12 + 20 - 9 = 23. - Give every percentage to one decimal place, for example 10.7 percent. WHAT NOT TO DO - Do not guess any quantity or price I have not given you; say what is missing instead. - Do not leave out a price change because it is small. - Do not tell me which supplier to use unless I ask. - No exclamation marks, no emoji. HOW TO CHECK THE ANSWER Before you show me the answer, redo every sum once and make sure the table and the flags agree. Then add a short list headed "Check before you act": tell me to check each flag against the invoice and the stockroom, and list anything that was missing or that you were unsure of. MY DETAILS Last week's count, this week's count, deliveries, and last time's and this time's prices: [paste them here]
Tested on 1 October 2026 through three AI model families (GPT, Claude and Gemini), on three invented example situations and on an empty start. Earlier versions failed some runs, and each miss became a line in the prompt; this version passed all 12. We checked every answer, then a second AI judge (GPT) checked it again without seeing our verdict.
