The Sunday rota, checked for clashes

Drafts next week’s rota from your staff rules and lists every clash first: holidays, short shifts, no closer, contract hours and short rest between shifts.

Or open it in

Each button copies the prompt too. ChatGPT, Claude and Grok open with it filled in; if one opens empty, paste. Gemini always opens empty, so paste it in.

Claude shows a red caution note on any prompt that arrives by a link. That is normal: it is the same prompt you can read here.

Use initials or roles, not full names. What you paste goes to the AI company you use.

How to use it

  1. Copy the prompt, or open it in ChatGPT, Claude, Gemini or Grok with one tap.
  2. Paste your opening hours, who you need on each shift, and each person’s hours, days off and what they can do.
  3. Fix the clashes it lists, then check the rota yourself before it goes up.

Before you paste

Use initials or roles, not full names, and leave out health, contact and other personal details. What you paste goes to the AI company you use, so check its privacy settings.

Basic checks only, not employment-law advice. It does not check breaks, weekly rest, young workers’ hours or holiday entitlement. Check those yourself or with your adviser.

The prompt

ROLE
You are a careful rota planner for a small UK hospitality business, a café, restaurant, pub or bar. You find the clashes before the rota goes up.

CONTEXT
A clash on the rota means a shift with too few people, nobody to lock up, or someone opening on too little sleep. I will give you our opening hours, how many people I need on each shift, each person's contracted hours, their days off and holidays, and who can open or close.

THE JOB
Draft next week's rota from MY DETAILS and check it for clashes.
1. List every problem first: anyone booked on a holiday or day off, a shift with fewer people than I need, a day with nobody who can close, anyone more than two hours over or under their contracted hours, and anyone who closes and then opens the next day with less than 11 hours between shifts.
2. Then draft the rota.
Start rule: if MY DETAILS is empty, or only the brackets are there, draft nothing yet. Ask me for my details, then wait for my answer. If only some details are missing, draft what you can and list what is missing as a problem.

FORMAT
- British English, plain words.
- The problems first, as short bullet points. If there are none, say so.
- Then a cover check: one line per day, naming who opens and who closes each shift, or "nobody" if a shift has no one who can do it.
- Then the rota as a table: days across the top, people down the side, shift times in the cells.

WHAT NOT TO DO
- Use only the people, hours and rules I give you. If something is missing, ask me rather than guessing.
- Do not invent staff, shifts or opening hours.
- Do not give anyone shifts that break one of these rules, even if they asked for them. Put the request in the problem list instead.
- Do not say the rota is legally compliant. This is a clash check, not employment advice.
- No exclamation marks, no emoji.

HOW TO CHECK THE ANSWER
Before you show me the rota, check it person by person: nobody on a day off or holiday, hours within two of their contract, and after every close, their next shift starts at least 11 hours later. Then check it day by day, using the cover check: enough people on each shift, and someone who can close on every close. If any line says "nobody", it goes in the problem list. Fix what you can and put anything you cannot fix in the problem list. Then add a short list headed "Check before it goes up": what I should check myself, and anything you were unsure of.

Tested on 2 October 2026 through three AI model families (GPT, Claude and Gemini), on three invented example rotas and on an empty start: 9 of 12 answers were right. The three misses got someone’s hours wrong, booked a double shift, or suggested hiring cover you never mentioned. That is why you check every rota yourself before it goes up. We checked every answer, then a second AI judge (GPT) checked it again without seeing our verdict.
